One consistent Outlook signature for all your employees

Brandesk syncs your employees from Microsoft 365 and automatically inserts the right signature in Outlook, through an add-in your administrator deploys just once.

  • No credit card required
  • Google Workspace and Microsoft 365
  • GDPR compliant

How the Outlook add-in works

Microsoft does not allow Outlook signatures to be written remotely. So Brandesk uses an add-in: for every new message, it fetches the employee's up-to-date signature and inserts it.

  • Works on Outlook on the web, Windows (classic and new) and Mac.
  • Nothing for the employee to do: the add-in signs in without asking for a password. If that isn't possible, the employee opens the Brandesk pane once to sign in.
  • Outlook's local signature is replaced by the Brandesk signature.
  • A shorter reply signature can be inserted automatically for replies and forwards.
  • The add-in pane offers the employee's other signature languages.

Synced with Microsoft 365

Brandesk reads your Microsoft Entra ID directory: each employee's profile, and therefore their signature, follows your changes.

  • Synced every hour, and on demand.
  • Users, groups and profile photos imported automatically.
  • Scope can be limited to a group if you wish.
  • An account disabled in Microsoft 365 is deactivated everywhere in Brandesk.
  • You can see how many employees have retrieved their signature over the last 30 days.

The right signature for everyone

The full power of the Brandesk editor applies to Outlook.

  • Locked brand guidelines, block editor, six templates to get started.
  • Assignment rules by department, subsidiary, country, language or group.
  • Legal disclaimers per legal entity and per language.
  • Scheduled campaign banners and A/B testing.

Limitations to be aware of

We'd rather be clear about what the add-in doesn't do yet.

  • Outlook mobile (iOS and Android) is not supported.
  • Meeting invitations do not get a signature.
  • If your Conditional Access policies only allow approved client apps, the add-in cannot sign in.

FAQ

Frequently asked questions

Do we need to install anything on each computer?

No. Your administrator deploys the add-in once from the Microsoft 365 admin center; it then appears for the relevant employees.

Is Outlook mobile supported?

Not at the moment: the add-in works on Outlook on the web, Windows and Mac.

What permissions are needed to connect Microsoft 365?

A Global Administrator or Privileged Role Administrator grants consent just once. Brandesk reads the users, groups and photos in the directory.

Is the signature also added to replies?

Yes. You can also set a shorter reply signature, inserted automatically for replies and forwards.
